This policy sets out how Hypnotherapy South West uses and protects the information you provide when using our services and accessing this website.


We intend to ensure any data you provide is kept secure, managed respectfully and only used for the purposes for which it has been provided.


This policy will be updated periodically in line with current legislation.



What information will we collect about you?


When you contact us via our website, text, WhatsApp, telephone or email we will collect your:


Name

Email Address

Telephone Number

Any information you choose to supply regarding the purpose of your enquiry.

Further information may be gathered during an appointment.

We may provide a digital audio recording of your sessions which we will store on an office computer connected to an Internet related cloud facility.


We will ask for your email address or postal address for the purposes of sending you a recording to listen to as part of the therapy. It may also be necessary to send emails to confirm or rearrange appointments. At the time of booking the first appointment we will also collect your address in order to follow up any failure on your part to attend a session without prior notice.



How will we use the information we collect about you?


We will store this information in order to make contact with you to discuss your requirements and keep your details on file for use in any subsequent appointments.


Your information is stored on a paper questionnaire only. Further initial details will be put in our appointments diary. We will make a note of the information you provide us in order that we can plan bespoke therapy sessions and identify/produce scripts which will be used in session and/or an audio recording which can be sent to you to listen to between sessions.



You do not have to consent to the collection of this information; however, if you choose not to provide it, we may not be able to work with you.


Under the General Data Protection Regulations which are effective from May 2018 you have the following rights:

We will provide you with the information within 30 days of your request.


The right to rectification: this is your right to request changes to any information we hold that is factually inaccurate. If you believe any of the information is incorrect then please let us know as soon as possible and we will make the relevant changes.


The right to erasure: given the nature of our work we are required to hold your details for a period of 7 years, after this your information and any digital recordings will be securely destroyed.



Will we share this information with anyone else?


The right to restrict processing: We will only use the information for the purposes that we have stated above. We will not pass your information to any third party for the purposes of marketing.


We uphold the common law principles of confidentiality where the duty to keep confidence is assured against the concept of ‘greater good’. If in our opinion as a therapist, if there is good reason to believe not to disclose would cause danger or serious harm to self, the therapist or others then your GP or other appropriate agencies may be contacted. Only information required to ensure safety of relevant parties would be disclosed.

Information may have to be disclosed without consent for the prevention, detection or prosecution of a crime. The sharing of anonymous case histories with supervisors and peer support groups is not a breach of professional confidentiality.


The right to data portability: this right is more relevant to IT companies and as your details will not be stored digitally this is not relevant.



Web Site Cookie Policy

When you visit this website, a third party service called Google Analytics collects standard Internet log information and details of visitor behaviour patterns. We do this to identify things such as the number of visitors to our site and which pages are looked at. This information is only processed in a way which does not reveal your identity. We do not allow Google to make any attempt to find out the identities of those visiting our website.
